Operations team reviewing logistics reports

Halcyon Logistics Cuts Reporting Cycles Across 28 Depots

Outcome: Quarterly close reduced from 18 days to 6

The problem

Halcyon Logistics ran carbon reporting out of regional spreadsheets maintained by depot managers. Central sustainability staff spent most of each quarter chasing missing utility invoices and reconciling conflicting totals before board disclosure.

What we did

We deployed Ordinant Carbon Solutions as a shared intake layer for all depot utility and fleet fuel data. Depot leads uploaded evidence against a fixed checklist; regional controllers reviewed submissions before corporate approval.

  • 28 depots moved onto one submission calendar
  • Automated reminders replaced weekly email follow-ups
  • Corporate retained final sign-off without owning data entry

Results

Halcyon closed its first full reporting cycle in six days. Depot-level ownership stuck, and the sustainability team shifted time from collection to analysis.

Pebble Creek Resorts Standardizes Supplier Evidence

Outcome: Supplier packets complete before deadline for 11 consecutive months

The problem

Pebble Creek operated nine resorts under three brand standards. Each property collected supplier documentation differently, and corporate had no reliable view of which evidence was still outstanding ahead of disclosure deadlines.

What we did

Ordinant Carbon Solutions gave every resort a property-level checklist for energy, waste, and water suppliers. Regional directors reviewed submissions; corporate sustainability approved the consolidated packet.

  1. Pilot at three flagship resorts
  2. Rollout to the remaining six properties with shared templates
  3. Monthly completion reporting to the operations leadership team

Results

Supplier evidence packets arrived complete for eleven consecutive months. General managers stopped treating reporting as an end-of-quarter scramble.

Northwind Municipal Services Unifies Facilities Reporting

Outcome: 40+ facilities reporting through one shared process

The problem

Northwind managed utilities and facilities data across more than forty buildings. Departments stored invoices in separate shared drives, and year-end consolidation routinely missed several sites.

What we did

We configured Ordinant Carbon Solutions with building-level owners and a district-wide review queue. Facilities directors submitted monthly; sustainability staff approved before annual public reporting.

Before After
Scattered drives and email threads Single evidence workspace per facility
Year-end scramble to find missing sites Live completion rates by department
No clear owner for late submissions Named facility leads with reminder schedule

Results

All active facilities submitted through the shared process for the 2020 reporting year. Leadership used the dashboard in monthly operations reviews rather than only at disclosure time.
